Terms of service
These terms govern access to and use of Site Audit Link, a cloud-based survey, evidence and reporting service available at siteauditlink.com (the “Service”). By creating an account, starting a trial or using the Service, you agree to these terms. If you use the Service for an organisation, you confirm that you have authority to accept these terms for that organisation.
The Service
Site Audit Link helps users create surveys, record findings, store evidence, coordinate actions and generate reports. Features may be improved or changed from time to time. We will take reasonable care to maintain availability, but uninterrupted or error-free operation is not guaranteed, particularly where mobile networks, third-party services, devices or internet access are involved.
Your responsibilities
You are responsible for the accuracy, legality and professional adequacy of information entered into the Service; obtaining permission to capture people, property, signatures, GPS data and photographs; keeping account access secure; maintaining appropriate independent records; and ensuring that any report is reviewed by a competent person before it is relied upon.
The Service is a record-management tool. It does not replace professional judgement, legal duties, statutory inspections, certification requirements or competent-person review. You retain ownership of content uploaded by you. You grant us a limited right to host, process, copy and display that content only as needed to provide, secure and support the Service.
Liability
Nothing in these terms excludes liability that cannot lawfully be excluded, including liability for death or personal injury caused by negligence, fraud or fraudulent misrepresentation. Subject to that, we are not responsible for indirect or consequential loss, loss of profit, business, goodwill or anticipated savings, or losses caused by inaccurate user content, unauthorised access resulting from a user’s acts, or reliance on an unreviewed report. Our total liability relating to the Service in any 12-month period is limited to the fees paid for the Service during that period. If you are a consumer, your statutory rights are not affected.
Suspension and termination
We may suspend or terminate access where fees remain unpaid, use creates a security or legal risk, these terms are materially breached, or continued provision is no longer reasonably possible. We will give reasonable notice where circumstances allow. You may stop using the Service at any time and may cancel a paid subscription as described below.
Law and disputes
These terms and any non-contractual dispute are governed by the laws of England and Wales. The courts of England and Wales have jurisdiction, except that a consumer resident elsewhere in the UK may also bring proceedings in the part of the UK where they live. Please contact us first so we can try to resolve any concern promptly.
Trials, billing and cancellation
The trial length, included features, recurring price, billing interval and applicable taxes are shown before you subscribe. Starting a trial requires you to choose a plan and securely provide a payment method through Stripe. No subscription fee is charged during the 14-day trial. Unless you cancel before it ends, the selected subscription begins automatically and renews at the interval chosen until cancelled.
Payments are processed securely by Stripe. We do not receive or store your full payment-card details. You authorise Stripe to collect the displayed recurring fee and any applicable tax. You can cancel renewal through the billing or account controls. Cancellation takes effect at the end of the current paid period, and access continues until then unless stated otherwise.
Fees already paid are normally non-refundable for a partially used billing period, except where required by law or where the Service is materially faulty. Consumers buying at a distance may have a statutory 14-day cancellation right. If a consumer asks for immediate access during that period, they may be required to pay a proportionate amount for the service supplied before cancellation. Nothing here limits mandatory consumer rights.
If a payment fails, we may retry it and temporarily restrict paid features after reasonable notice. We will give advance notice of material price changes, which will apply from a future renewal date.
Privacy notice
Site Audit Link is the controller of personal information used to provide accounts, operate subscriptions, secure the Service and communicate with customers. Where a customer uploads survey information about other people, that customer will normally be the controller and Site Audit Link will process that information on the customer’s instructions.
Information we process
- Account information, including verified name, email address and authentication identifiers.
- Workspace information, including company details, branding, team membership and permissions.
- Survey content, including locations, findings, notes, photographs, annotations, timestamps, GPS metadata and signatures.
- Subscription, invoice and payment-status information supplied by Stripe.
- Security, diagnostic and usage information needed to protect, operate and improve the Service.
Why we use it
We process information to perform our contract with you; comply with legal obligations; and pursue legitimate interests in securing, supporting and improving the Service. Where consent is the appropriate basis, such as for non-essential cookies, you may withdraw it at any time.
Google Drive connection
If you choose to connect Google Drive, Google grants the Service access on your behalf. Site Audit Link requests selected-file access and uses it only to verify the folder you deliberately choose and save completed PDF reports there; it does not request access to all files in your Drive. Google access and refresh tokens are stored in restricted server-side storage and are not exposed to other workspace users. Disconnecting revokes the connection and removes the stored tokens; reports already saved in Google Drive are not deleted.
Sharing and international processing
Information may be shared with carefully selected providers that support hosting, authentication, file storage, payment processing, communications and technical operations, and with authorities where legally required. Providers may process information outside the UK. Where this happens, we use legally recognised safeguards, such as UK adequacy regulations or approved contractual protections.
Retention and security
Account and survey information is kept while an account is active and for a reasonable period afterwards to provide recovery, meet legal obligations, resolve disputes and protect the Service. Retention may vary according to the information and customer instructions. We use access controls, encrypted connections, account authentication and restricted storage. No internet service can guarantee absolute security, so users must also protect their devices and accounts.
Your rights
Depending on the circumstances, UK data-protection law may give you rights to access, correct, erase, restrict or object to processing, and to receive portable information. You may also complain to the Information Commissioner’s Office at ico.org.uk. To exercise a right, contact us using the details below. We may need to verify your identity.
Children
The Service is intended for business and professional users aged 18 or over and is not directed at children.
Acceptable use
You must not use the Service unlawfully; upload content without appropriate rights or permissions; introduce malware; attempt to bypass security or access another customer’s information; probe, overload, scrape, reverse engineer or disrupt the Service; impersonate another person; or use generated reports to mislead. You must not upload unnecessary special-category, criminal-offence or highly sensitive personal information.
We may remove unlawful content or restrict access where reasonably necessary to protect users, third parties or the Service. Where appropriate, we will notify the affected customer.
